Facilities Coordinator Position

The Artists Council is seeking an on-site Facilities Coordinator to help us operate our Artists Center at the Galen in Palm Desert, California, 72567 Hwy 111, Palm Desert, Calif.


Reporting to: 
Chair, Artists Council Board of Directors in his role as acting Executive Director. This hourly position is 75% – 30 hours per week, primarily on Friday through Sunday, with additional paid hours as needed
 
Responsibilities:
This role supports the operation of the Artists Center at the Galen along with a second Facilities Coordinator working 20 hours per week. The building is open to the public five days a week, Wed-Sun 10am-4pm. The Facilities Coordinator will need to be on-site from 9:45 am to 4:15 pm each Friday through Sunday. Occasionally, the Coordinator will be asked to assist during other days and hours when there are special events in the building and when needed. 
 
Specific duties include the following:

  • Building Opening and Closing

Arriving promptly beforehand to have the building open and ready for visitors at 10 am.  Locking up and reactivating the security alarm system at the end of the day after the last person is out of the building at 4pm or special hours as needed.  Perform an exterior leasehold surveillance walk and report findings to the Executive Director and Events and Facilities Director.

  • Front Desk Duty

Attending the front desk to welcome visitors as the senior person on duty and answering the phone. Working with volunteers including Galen Ambassadors and Artists Hosts to cover the front desk and provide leadership in visitor hospitality, sales support, and building management.

  • Events and Facilities Director Support

Assisting the Director of Events and Facilities and the other Facilities Coordinator with special events in the building.  Support the Education Director and the Education Coordinator in preparation for Education classes and workshops. This could involve moving furniture, preparing classrooms for a workshop, assisting with the preparations surrounding the set-up and take-down of an exhibition or education event, hanging decorations/banners, adjusting display lights, rearranging displays gallery set-up, etc.

  • Building Maintenance and Upkeep

Coordinate the services of the housekeeping/cleaning and maintenance crews. Make sure building supplies are on hand (or ordering this through the housekeeping service) for bathrooms, kitchen, Covid safety measures, etc. Checking property functions (plumbing, electricity, security radio, etc.) to ensure everything is in good working order. Requesting any necessary repairs/services through Executive Director or Facilities Board Director.

  • Volunteer Support

Lead and Assist Volunteers (“Galen Ambassadors” and “Artists Hosts”) on duty in the building. Working with Volunteer Coordinator who will enroll the required volunteers using the Volunteer System on the implementation of volunteer shifts. Make sure volunteers have necessary supplies and marketing materials (and ordering new supplies/materials as needed) with approval of the Executive Director.
 
Required Skills:

  • Must be people-oriented with good verbal and social skills, able to positively represent the Artists Council to the visiting public and on the phone. 

  • Good team player who is willing to share duties with volunteers and housekeeping/gardening crews to do whatever needs to be done to keep the building and surrounding grounds operating smoothly.

  • Basic computer skills – to refer visitors to the Artists Council’s website and Facebook pages, to use email for communicating with Artists Council board members and staff, etc.

  • Able to climb ladders and move chairs, furniture, including some heavy lifting.

  • Comfortable with activating and de-activating the building security alarm system.

  • Available, on occasion, to work some evenings or on Monday and Tuesday during special events and exhibitions.
